Candidate Experience Specialist (Fixed Term Contract)
Purpose of Role : The Candidate Experience Coordinator will play a key role in supporting the Talent Acquisition function by ensuring all new hires complete the required compliance processes prior to commencing employment.
The role manages pre-employment checks, documentation verification, training requirements and compliance coordination, while ensuring processes align with company policies, regulatory standards, and employment legislation.
Working closely with the Talent Acquisition team and hiring managers, the Candidate Experience Coordinator ensures a smooth, efficient, and compliant compliance experience while maintaining accurate records and supporting continuous improvement within talent acquisition processes

Key Responsibilities
Onboarding & Candidate Compliance
- Coordinate the compliance process for all successful candidates.
- Ensure all required documentation is received, verified and stored appropriately.
- Verify authenticity of qualifications, certifications and professional registrations where required.
- Ensure requirements are completed prior to employment commencement.
- Maintain clear communication with candidates throughout the process.
Documentation & Records Management
- Maintain accurate documentation for candidates.
- Ensure candidate files meet internal and regulatory standards.
- Follow up on outstanding documentation.
- Ensure records are maintained in line with legislative requirements.
Quality Assurance & Governance
- Conduct quality checks and spot audits on candidate files.
- Support internal and external audits.
- Escalate documentation issues to the Talent Acquisition Manager.
- Support continuous improvement of processes.
Systems, Administration & Reporting
- Maintain accurate records within TA and HR systems.
- Update candidate records and progress.
- Support reporting and recruitment compliance metrics.
- Assist with administration during high-volume hiring.
Stakeholder Collaboration
- Work closely with Talent Acquisition Specialists and hiring managers to coordinate an efficient compliance process.
- Provide guidance on requirements.
- Support cross-functional collaboration for a seamless candidate experience.
Continuous Improvement
- Identify opportunities to improve efficiencies.
- Enhance procedures and documentation standards.
- Support implementation of improved processes and systems.
Experience
- Previous experience in recruitment coordination, compliance, or HR administration.
- Experience in healthcare or other regulated environments is desirable, but not essential.
- Experience managing documentation in high-volume environments is advantageous.
Exposure
- Strong organisational and administrative skills.
- Excellent attention to detail and accuracy.
- Strong communication and stakeholder engagement skills.
- Proficiency in Microsoft Office and TA or HR systems.
Education
- Relevant third-level qualifications are desirable but not essential.
- HR or recruitment-related certification advantageous
